Our Process
Schedule a Discovery Call
Join a consultation with our Client Solutions Team to review your business structure, needs, and requirements. After the meeting, we will send you a proposal. The proposal will allow you to choose a package, read our agreement, and pay your first invoice to get started.
Onboarding Call
After you complete the proposal, you will receive an email to schedule your onboarding call for a time that works for you. During the onboarding call, we go over your projects, tasks, preferred contact method, and other important details.
Placement Process
Our Client Success Manager will hand-pick and interview dozens of qualified virtual assistants to ensure we provide top-tier quality for your needs. This process can take anywhere from 3-5 business days, depending on the skillset required. After a detailed recruiting process, we hire and train the Virtual Assistant for our internal operations and prepare them to integrate into your environment.
Kick-Off Call
On this call, you meet with your Virtual Assistant along with your Client Success Manager. You learn about their background and confirm the priority tasks for the first few weeks.
Support Offically Starts
After the kick-off call, you and your assistant communicate daily via our client portal, text, and email. You develop a cadence and relationship that will last for years to come.
Nurturing
Our Client Success Manager meets with your assistant regularly to ensure they are on task and operating beyond your expectations.

How quickly do you start working?
Account setup can take 7-10 business days depending on the complexity of the business and owner's needs. Organization and consistency is our key to everyone being successful. Trust the process, don't rush the process.
How do I know my information is secure?
We take several precautions. Our programs are secure, we have advanced email security with Microsoft, and & we use software that masks user names & passwords. Our VA's have antivirus on their computers and we use 2 factor authentication for our programs.
Do I have to start at the beginning of the month?
No, many of our clients will start in the middle month. Any hours that you have left over for the first month of service will roll over to the second month.
How do I know my monthly allotted hours are put to good use?
Integrity is our #1 focus. We have a time keeping solution that keeps track of work done for each client and we schedule routine weekly meetings to cover completed tasks and strategize on future projects with our clients.
How do I know when my admin is working on my account?
We offer 24/7 visibillity into your account where you will see tracked time and the tasks that were done each day. Our admins have their schedules planned out a month in advance. If you would like your admin to work on your account during a specific time of the day please convey that during your onboarding meeting.
Can I change my package?
Yes, please notify us via email within 14 days of the desired date and we can update the package on your next invoice.
What is the estimated turnaround time for a task?
When our admin receives a task, they will ask for a due date so we can complete the task. Most times it is immediate or same day. We ask that you provide our admins with at least a 48-hour notice. We know things pop up last minute so we will do our best to accommodate you.
What happens if my hours run out before the end of the month?
Our admins will notify you when the hours are getting low for the month. You can either purchase more hours to finish out the month or you can adjust the task to accommodate the remaining hours.
Do I have to manage my VA?
No, you do not!
People management is a service that our agency offers with every partnership. It is a part of our Client Concierge program to ensure we save you as much time as possible. Melissa meets with each team member routinely. Each VA is personally trained by Melissa, has quarterly performance evaluations, and is encouraged to participate in continuing education monthly.
